In Pleo, we frequently use a few terms that are essential to understand. This helps in accurately representing the accounting requirements of customers.
For better understanding, we have segregated the terms into the following sections:

Expenditure Types

Card Expenses | Employees use their Pleo cards for payment of business expenses. |
Invoice | Represents a bill provided in lieu of goods and services purchased. Customers may use their Pleo wallet for invoice payments. |
Out of Pocket expenses | Employees of a company or an organisation have incurred work related expenses using their personal funds. This is a liability of the employer to the employees. |
Mileage | Allowance provided to company/organisation employees for using their personal cars for business trips. |
Per diem | Daily allowance for business travel. |
Direct Reimbursements | Reimbursement made directly to the employees' bank accounts/cards for business expenses incurred with personal funds. The reimbursements are paid from the company/organisation's Pleo wallet, impacting the Pleo wallet balance and the out-of-pocket balance. |
External Reimbursements | Reimbursement made to employees with their salary or in cash, impacting only the out-of-pocket balance. This is managed outside Pleo and does not impact the company/organisation's Pleo wallet balance. |
Invoice | Document that specifies the invoice number, amount purchased, vendor/merchant information, and tax details are included. |
Invoice Payment | Details of payment made against an invoice. |
Card Invoice | These are documents that include both the invoice and the invoice payment made with the Pleo card. This is especially relevant in Spain. |
Chargeback | Return of funds for a previous expense, usually happens owing to a dispute raised by the company/organisation in their account statement/transaction report. The chargeback might be initiated either by the vendor/merchant or by the company/organisation's card issuing bank. |
Refund | Amount returned from the vendor/merchant for a previous purchase. |
Cashback | Pleo offers rewards to companies/organisations for using Pleo as their spend management platform. However, there are specific eligibility criteria for being companies/organisations to be eligible for cashback. |
ATM Withdrawal | Employees withdrawing cash at Automated Teller Machines (ATMs) using their Pleo cards. |
Wallet Topup | Transfer of funds to the Pleo wallet of a company/organisation from its bank account. |
Wallet Unload | Funds withdrawn from the Pleo wallet of a company/organisation to its bank account. |
Fee | Fee incurred for any relevant credit offering. |
Personal Spend | Employees of a company/organisation have accidentally used their Pleo card for personal expenses. |

Pleo Wallet | Represents an account of a company or an organisation with Pleo; this is like a bank account containing a specific fund that customers might use for payment of invoices and reimbursements. Funds can be added or withdrawn from the Pleo wallet. |
Card Payments | Payments are made with the Pleo card, using funds from the Pleo wallet. This is at the company/organisation level. |
Contra Accounts | Implies the accounts that represent the Pleo wallet. Out of Pocket expenses and Reimbursements indicate the amount in the Pleo wallet that a company/organisation owes to its employees. |
Cash Withdrawals | Employees of a company or an organisation might withdraw cash with their Pleo card. This is recorded as an employee's liability to the company. |
